What buyers should know
Approve a car vacuum cleaner sample only after the exact model, color, functions, battery label, charging interface, accessories, filter and dust-cup fit, performance test method, branding and packaging are recorded together. Date the final sample and supporting documents, then use the same approved set for production and pre-shipment inspection.
1. Build one approval package
Keep the physical sample, dated specification, quotation reference, accessory packing list, battery label, artwork, manual, color-box proof and master-carton marks under one approval record. If any item changes, update the revision instead of relying on chat messages or an old photograph.
Identify whether the sample is a standard in-stock unit, a logo sample or a fully customized pre-production sample. Each type proves a different level of readiness.
- Supplier and buyer reference numbers
- Exact model and color
- Sample type and revision date
- Approved deviations or open issues
2. Confirm product identity and appearance
Photograph the front, side, controls, charging port, nameplate and battery label. Check housing color, surface finish, dust-cup clarity, switch feel, assembly gaps, scratches and visible contamination.
For VONVIX references, VX-CV-S3 identifies the silver and purple three-gear kit for buyer discussions, while HL-138 is visible on the supplied black and copper carton. The quotation and approved sample should state which reference is being ordered.
3. Lock the accessory packing list
Lay out every included component and assign a name or item number. Confirm nozzles, brushes, hose, cleaning head, filters, charging cable, storage case or bag, manual and adapters. A marketing photograph is not the final packing list.
Test every attachment on the approved body. Check that connections lock securely, parts suit the stated task and packed quantities match the retail offer.
- Accessory name and quantity
- Material or color where relevant
- Connection and fit check
- Retail box position or inner packing
4. Verify the battery label and charging system
Compare rated voltage, cell notation, capacity statement, charging interface and included cable with the quotation. The supplied family reference uses DC 11.1 V, three 18650 lithium cells at 2000 mAh each and Type-C cable charging, but the exact label must still be confirmed for the selected model.
Charge the sample according to the approved instructions. Record charging time, indicator behavior, heat and runtime by gear. Confirm which battery compliance and transport documents apply to the exact pack.
- Product and battery label photographs
- Cell arrangement and capacity wording
- Charging cable and input requirement
- Applicable battery transport documents
5. Approve suction with a repeatable test
Do not approve performance from a Pa claim alone. Record the vacuum model, gear, battery state, filter condition, dust-cup seal, attachment, measuring instrument, connection method, duration and whether the reading is peak or stable.
The confirmed supplied gear references are 16 KPa on high, 12 KPa on medium and 6 KPa on low. Use the photographed test process and instrument readout as traceable evidence, then agree how the test will be repeated during production or inspection. Compare pickup performance, airflow, runtime, heat and noise as well as pressure.
6. Approve filters, dust cup and sealing
Remove and reinstall the filter and dust cup several times. Check filter fit, sealing surfaces, locking points, dust leakage and whether normal cleaning can be completed without damaging the parts.
If spare filters are included, record their quantity and material and confirm replacement availability. A loose filter or poor seal can change measured pressure and real pickup performance.
7. Freeze branding and packaging
Approve logo size, position, color and method on the product or a clearly identified pre-production proof. Check nameplate information, warning labels, manual language, barcode, color-box claims, accessory layout and master-carton markings.
Packaging should protect the product and describe the approved configuration accurately. Confirm 20 pieces per carton and the 48 × 42 × 39 cm family carton reference for the selected packing method. Supplied gross-weight references vary from approximately 14 to 18 kg by configuration, so use the final packed carton for freight calculations.
8. Define bulk consistency before production
Turn the approved sample into measurable inspection points. Define the sampling quantity, acceptable appearance, function checks, accessory count, label revision, packaging checks and any repeatable performance test with an agreed tolerance.
Keep one approved sample with the buyer or inspection team and one controlled reference with the supplier. Before shipment, compare randomly selected units with the same documents and sample rather than approving only the top carton.
- Appearance and assembly
- Charging and gear operation
- Filter, seal and attachment fit
- Accessory and document count
- Logo, label and packaging revision
- Agreed performance checks
9. Send a quotation-ready inquiry
Send the chosen model or photo reference, destination country, quantity, color, accessory list, battery and charging requirements, logo files, packaging needs and required compliance documents. State whether you need an in-stock sample, logo sample or fully customized sample.
Confirmed in-stock products can start from 5 units and may be dispatched within two days. Custom logo orders start from 100 units; logo samples normally take 2–5 days after artwork approval, and bulk production normally takes 10–25 days after the final sample and order details are confirmed. In-stock samples are charged at the unit product price plus shipping. Custom sample charges depend on the work, and the agreed sample fee can be credited against a qualifying bulk order.
Procurement FAQ
Is an in-stock sample enough for OEM approval?
It can confirm the base product and functions, but it does not approve custom logo, color, labels, manual or packaging. Use a logo or pre-production sample when those items are part of the order.
What should be dated during approval?
Identify the physical sample, model, specification revision, accessory packing list, artwork, labels, manual, packaging proof and approved deviations. Both sides should retain the same revision references.
How should suction be checked on the sample?
Record the model, gear, battery state, filter, seal, attachment, instrument, connection, duration and peak or stable reading. Use the same method when comparing bulk units.
Which battery documents should buyers request?
Request available compliance and transport documents for the exact battery pack and destination route. Check the model, pack specification, report scope and current validity.
Can the sample fee be returned?
The agreed sample fee can be credited against a qualifying bulk order. Confirm the order threshold, timing and which customization or shipping charges are excluded before payment.
